Data we collect
We collect your name, email and contact details when you book, enquire or apply to partner with us. If you fill in a build calculator or estimator, we also hold the answers you give it.
How we use it
This data is used solely to manage your booking or enquiry and communicate with you about Sauna Box services. We do not sell your data to third parties.
Your personal hub
If you're partnering with us or working through a build, we may send you a link to a personal hub page with things relevant to you: proposals, guides, stories from other operators. We record when you open it and which items you view, so we know what's landed and can follow up on the right things rather than guessing.
Marketing emails
We only send marketing emails (news, guides, offers) to people who've asked for them, or who we can reasonably assume want them from a past booking or enquiry under UK PECR rules. We record your consent status and where it came from. Every marketing email has a one-click unsubscribe link; using it stops all future marketing emails immediately and permanently — we never re-add an unsubscribed address, even if you enquire again later. This doesn't affect transactional emails (booking confirmations, replies to your enquiries), which we still need to send to serve you.
If you message us on WhatsApp, Sauna Box Ltd is the data controller for that conversation. Meta Platforms Ireland Limited processes your phone number and message content on our behalf, as our data processor, to deliver the message to us and to send our replies. Meta's own privacy policy also applies to how it handles your data as part of that delivery.
We keep your WhatsApp conversation for as long as it's useful to your enquiry, build or aftercare, and for a limited period afterwards in case you get back in touch, then delete it unless we're required to keep it for longer (for example, a legal or accounting obligation). You can ask us to delete it sooner at any time, the same way as any other data (see Your rights, below).
Cookies & analytics
On your first visit, a banner asks whether to allow analytics and marketing cookies (Google Analytics and the Meta pixel). Accept or decline — either choice is remembered so you're not asked again.
Separately, we always record basic first-party visit data (which pages are viewed, and whether a visit turns into an enquiry) so we can see whether the site is working. This is not affected by the cookie choice above and does not use third-party tracking cookies.
Your rights
You may request a copy of your data, or ask us to delete it, at any time by emailing hello@saunabox.co.uk.
